How to Follow Up on Estimates So Bikes Don't Leave Without Work

5 min read  |  September 2026

Look around the workshop this evening. Some bikes are waiting for parts. Some are waiting for a customer who said "I will tell you". Those are not stock. They are sales you already diagnosed and have not collected. A garage that follows up the same day closes more of them than a garage that waits for the customer to call back.

Write the estimate like a decision, not a note

A scribble that says "chain + pad ?" cannot be followed up. Each pending job needs the bike number, the customer phone, the work in plain words, the total, and the time you asked. Put that on the job card with a status such as estimate sent, approved, or waiting.

Follow up once the same day

If you asked in the morning and there is no reply by 4 pm, send one message. Do not send a new offer. Repeat the decision.

Follow-up: "Your Pulsar is on the stand. Chain set plus labour is ₹1,850, ready by tomorrow noon if you confirm before 7 pm. If you want only the oil change, tell me and I will close the other work. The bike can go out either way today."

The last line matters. Customers delay because they think the bike is stuck until they buy everything. Tell them they can take it, and many of them approve the important line instead of disappearing.

Separate "not now" from "not this garage"

  • Not now: set a reminder for the date they gave, and release the bike.
  • Too expensive: offer the safe minimum, not a fake discount on the whole list.
  • No reply after two tries: stop. Call once if the bill is large. Then move on.

Review the pending list every evening

During closing, read only the jobs that are not approved. Tomorrow morning, those are the first calls, before the lane fills up. Garages that do this stop losing two or three jobs a week that were already in the workshop.

A digital job card keeps the estimate, the photos, and the customer phone on one screen, so the follow-up does not depend on whoever answered the original call.
